Why Backup?
Computers are great things. I don't know where I'd be without mine. But I also don't know where I'd be without the data that I hold on mine. And that's a worry. Now, normally PCs are reliable, but they do sometimes break down. Isn't there a corollary to Murphy's Law that says "Anything that can go wrong will go wrong, and will go wrong at exactly when you don't want it to go wrong"? What if, the next time you tried to access an old email (or memo, or whatever) and you couldn't?
There are plenty of ways that you could be prevented from getting at that data. For example, if one of the components on your motherboard develops a fault you could be in trouble. Similarly a failure in your disk drive (which is not just electronic, but mechanical too) could mean that you can't access the information you need. There are lots of ways you can lose your data On top of these failure mechanisms, you could lose files because of human error (eg deleting or overwriting the wrong file), corruption (the PC throwing a wobbly), virus or malicious attack (an ex-employee with a grievance). Then there's the old favourites of accidental damage, fire, theft and flood. I hope you can sleep at night.
Why Backup?
Backing up your data to a floppy or CD is fine, but limited. The problem is that the amount of data you need to backup these days is waa-a-a-a-y more than will fit onto either of these technologies, and even DVDs can't hold everything you'd like to save. (When I last looked, I had over 5GB of family photos, including my wedding and honeymoon photos. I want to know that these are safe!) Backup your important files And it's no good making a backup and then storing the backup copy next to your PC. If you have a fire or theft, then you could still lose everything. That's why storing to a remote server is so important.
Of course, that's assuming you made a backup in the first place. Another corollary of Murphy's Law is that "As soon as you forget to back up your data, you will have a data access problem". Which means, a backup procedure that relies on a human is subject to human error. You could forget to do the backup, you could backup the wrong data, backup to the wrong media, or even restore last weeks data on top of the changes you spent all week making, instead of backing up.
Why Backup?
There could even be reasons why you HAVE to have a proper backup process. There could be legal requirements for you to maintain records for a set number of years. It could be that it's a requirement as part of your shareholder's agreements.
Either way, the consequences of being caught out could be far greater than you think. Various statistics abound about how likely it is that a company will go out of business following a disaster such as a gross data failure. The figures vary but the message is the same - your company will suffer following a disaster, with some estimates claiming that 90%(!!!) of businesses fail within two years of a major incident. And why? Because customers will desert you. They will not trade with a company that lets them down.
How often you backup the data depends on how often you modify it, and how easily you can redo the changes made since the last backup. You might feel that backing up once a week is enough.
